Data Protection Policy

Special Olympics Asia Pacific, Ltd. (“SOAP”) is committed to safeguard the personal data entrusted to it by individuals.  The purpose of this data protection policy is to inform you how SOAP manages personal data in accordance with the Personal Data Protection Act 2012 (“PDPA”).  

“Personal data” refers to data, whether true or not, about an individual who can be identified a) from that data; or b) from that data and other information to which the organization has or is likely to have access.

In the case of our organization, this policy applies to the personal data of our donors, employees, volunteers, our program and event participants, and subscribers to our newsletters.

Collection, Use, and Disclosure of Personal Data

We collect personal data from you for the following purposes

Personal data for the above purposes are only collected under the following circumstances.

  1. You have provided data to us voluntarily, directly or via a third party contracted by us and whom you have duly authorised to disclose your personal data to,
  2. You have been notified of the purposes for which the data is collected, and
  3. You have provided written consent to the collection and usage of the personal data for those purposes

We do not capture any data that allows us to identify you when you browse our website.

In some circumstances, you are deemed to have consented to us collecting and using personal data where collection and use of personal data without consent is permitted or required by the PDPA.  For example, if you pose for a photograph by our photographer at one of our events or if you fill up a job application form and send it to us, you are deemed to have consented to us collecting, using or disclosing the personal data about you that is in the photograph (that is, your image) or the job application. We will not disclose your personal data to any third parties without first obtaining your consent permitting us to do so, except when such disclosure is required by law and/or regulations or if there is an emergency.

Administration and Management of Personal Data

We will make reasonable efforts to ensure that the personal data we collect or are collected on our behalf, are accurate and complete.  Subject to certain exceptions in the Act, you may request to access and/or correct your personal data currently in our possession at any time.   We shall provide the relevant personal data or correct your personal data within a reasonable time following such a request being made.

We will also take reasonable efforts to ensure that personal data is adequately protected and secured.   Where personal data are stored by our data intermediaries in a third country, we will only transfer personal data if our data intermediaries can provide appropriate safeguards.  Appropriate security arrangements will be taken to prevent any unauthorized access, collection, use, disclosure, copying, modification, leakage, loss, damage, and/or alteration of personal data. Only authorized personnel are permitted to have access to personal data about you.

Personal data in our possession or under our control will be destroyed as soon as it is reasonable to assume that (i) the purpose for which that personal data was collected is no longer being served by the retention of such personal data, and (ii) retention is no longer necessary for any other legal or business purposes

We will ensure our employees understand the importance of data protection and will be given personal data protection training and/or guidance appropriate to their roles and responsibilities.

Withdrawal Of Consent

On giving us reasonable notice, you may at any time withdraw your consent to us and our data intermediaries to collect, use or disclose personal data about you.  Withdrawal of consent should be given in writing or email sent to our Data Protection Officer.  As part of your withdrawal of consent, we may require you to provide proof of identification.
